Job Summary
St. George Spirits is looking for someone that can hit the ground running, with great attention to detail and a “can do” attitude. This person is deeply connected to the business and involved with the daily responsibilities and projects of the three members of the executive leadership team (CEO, President, and Vice President). They know when to involve the leadership team or not, and how to problem solve on their own as necessary, all while remaining aligned with the ethos of our organization: professionalism and grace.

• Providing support for leadership to focus on their core tasks
• Creating efficiencies
• Ensuring tasks get completed and professionalism and hospitality are top notch

Responsibilities
• Act as the main point of contact for the executive leadership team regarding fellow employees, clients, and other external partners
• Manage information flow in a timely and accurate manner
• Assist the leadership team in their direct projects concurrently from beginning to completion
• Keep projects organized, track milestones, and execute projects by deadline
• Conduct vendor and service provider searches and attainment of necessary quotes
• Set up meeting logistics and distribute minutes post-meeting
• Manage time allocation and calendars
• Make travel and accommodation arrangements
• Coordinate telephone meetings, conference calls, video meetings, and in-person meetings
• Answer telephone calls and respond to inquiries in a timely manner
• Enter projects into project management software
• Manage email accounts and respond to emails when appropriate
• Manage expense reports
• Format information for internal and external communication – memos, emails, presentations, reports
• General task fulfillment and research
• Maintain and stock general office and kitchen supplies
• Represent the leadership team at company events, conferences, meetings, etc.

Education and Experience:
• Work experience as an Executive Assistant, Personal Assistant, or similar role
• Project management experience preferred
• Knowledge of spirits business preferred
• Proficiency in project management software tools
• Experience with G-Suite
• Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
• Extensive knowledge of office administration, clerical procedures, and record-keeping systems
• Excellent time management skills with a proven ability to meet deadlines
• Excellent organizational skills and attention to detail
• Excellent problem solving and prioritizing skills
• Excellent verbal and written communications skills
• Proven experience exercising discretion and handling confidential information
